Abstract

Abstract The research was conducted at the Library and Archives Service of Ngawi Regency. The purpose of this study was to analyze the storage system and archive retrieval procedures in the Archives Management Division. This research method uses a qualitative method with a case study approach about storage systems and archive retrieval procedures. The research subject is one archivist, and one administrative management staff, while the informant in this study is the head of the archives administration. In determining the research subjects and informants have criteria obtained by using purposive sampling technique. Techniques in data collection used were observation, interviews and documentation. Data analysis was carried out by researchers in several stages, namely data reduction, data presentation and data conclusions. The results show that the storage system that has been implemented has not met the stated Standard Operating Procedures. The storage system is only differentiated based on the year of incoming mail and sorting by date. The procedure for recovering archives (letters) only uses an agenda book and a list of registration letters so that employees have to sort out archives one by one based on the desired date so that it takes a long time to find the archive. Constraints faced in this study stem from limited human resources, lack of experts who can handle archive storage systems properly, and the availability of infrastructure and facilities which also affect the storage system and archive retrieval procedures. Efforts that can be made, namely archive employees attend education and training on archive management which aims to understand the management procedures, especially in the archive storage and retrieval system.
